Our process:

1. Preparation: Often overlooked but crucial, document preparation is a fundamental aspect of TSCI's document scanning services. Before scanning your documents, we perform a separate process that involves removing acco fasteners, staples, binder clips, tape, re-positionable notes (like "post-it" notes), and tape. We also straighten folded documents and mend torn corners.


2. Document Scanning: We utilize high-volume scanners from Kodak and Canon known for their exceptional output quality, reliability, and document preservation capabilities. We can scan documents in either TIFF or PDF format, including color images, and perform duplex scanning when needed to capture information on both sides of documents. Our services also incorporate features like blank page detection and removal, as well as document cleanup techniques such as de-skewing and de-speckling.

3. Indexing & Data Entry: As part of our document scanning services, TSC employs manual data entry and OCR (Optical Character Recognition) technologies to create index records tailored to your company's needs. Accurate indexing ensures efficient future retrieval of your files. Depending on your requirements, we offer both on-shore and off-shore data capture solutions, along with cutting-edge full-text and zonal OCR and ICR (Intelligent Character Recognition) software. Our machines and software are also equipped with OMR (Optical Mark Recognition) capabilities, providing high-level metadata and index values for easy text searches and database record retrieval.

FAQ

Q: Do I drop off the records or do you pick them up?

A: Records can be dropped off or picked up depending on your needs.

Q: How do you name/organize my records?

A: We typically start with file-folder level naming and then get more complex from there if it is required.  i.e. Bracket/section-level, document-level, etc.

Q: Can I ship my records to you?

A: Yes of course!  Please just first reach out to confirm which location, how to properly prepare, and that our team knows they're incoming so they can prepare to receive them in our tracking systems.

Q: What do you do with my paper documents after you convert them?

A: All documents are either returned to the client or securely shredded by our 3rd party vendor who maintains the appropriate certifications of shredding for us. All boxes to be shredded are tracked in our system, palletized and shrink wrapped before the vendor backs up to our dock to pickup in enclosed trailer for secure transfer to their shredding facility.

Q: Do I have to pull out all the staples?

A: No, you do not need to remove staples before scanning. As part of our bulk scanning and scan on demand services, we can do that for you and if you would like your files returned to you we will replace all the staples afterwards too.

Q: What happens if I need some of my documents back?

A: Access is always available throughout the processing project. We’ll retrieve and re-file anything you need during the conversion.

Q: Do you take on small document scanning jobs?

A: Yes we do, but we specialize in high speed and high volume, so minimum fees may apply. Contact us for a customized quote.

Q: How much does document scanning cost?
